01 — Challenge

Tool sprawl instead of one system.

Studios often juggle a collection of separate tools: booking tool, calendar app, website CMS, newsletter service, Excel sheets for membership fees and external accounting. Data is duplicated, handovers get lost and changes must be maintained in multiple places.

Manual subscription billing, paper-based punch cards and error-prone SEPA lists cost time that is missing for classes, members and growth — and at the same time weaken the customer experience at the first digital touchpoint.

02 — Solution

One platform for the entire studio operation.

Member management, classes and booking logic, online payment, a multilingual CMS and a fully featured customer portal — completely integrated. Data flows seamlessly between internal administration and the public studio website.

Studios configure tariffs, class types, staff and business hours centrally. From this the system automatically derives availabilities, invoices, SEPA debits and confirmation emails — around the clock, in up to six languages.

    Freely configurable tariffs with minimum terms, monthly points, punch and point cards as well as trial cards — including tariff changes, cancellation management and a complete activity log per membership.

    Visual calendar, recurring appointments, lead-time and cancellation rules. Availability checking automatically considers business hours per location, staff absences and maximum attendee counts.

    Multilingual CMS & customer portal

    Custom studio website via a visual element builder — in six languages, with blog, collections, SEO control and configurable forms. Members book, manage cards, download invoices and update bank details in their protected online account.

    Payments, locations & multi-tenant

    Online payments via Mollie, SEPA direct debit with mandate management, automatic PDF invoices and tax-rate management. Multiple locations and studios run multi-tenant in a single system — with their own role and permission management and API access.

Instead of a collection of CMS, calendar, newsletter and accounting tools, studios receive an end-to-end platform. Contributions are calculated automatically, invoices generated, confirmations sent — the studio gains time for classes, members and growth.
